We are looking for a Document Control Assistant to support the management of vessel certification and safety equipment across our UK, Irish, Belgian, and wider European fleet.

This is an important role — helping to ensure our vessels remain compliant, operationally ready, and supported by accurate, up-to-date documentation.

As the Document Control Assistant, you will play a key role in supporting our fleet and technical teams behind the scenes.

As our Document Control Assistant, you will:

• Support the administration and management of vessel certification across multiple flag states
• Monitor certificate expiry dates and highlight upcoming renewals and inspections
• Assist with coordinating statutory inspections and surveys (Flag, Class, HSOSC, Workboat Code, DoC DG, CMID)
• Support the planning of safety equipment inspections, including liferafts, fire systems, PLBs, and compass swings
• Upload and maintain vessel certification records across internal and client systems
• Maintain accurate documentation within SharePoint, MARAD, and certification archives
• Support the weekly vessel certification meeting, including tracking actions and updating reports
 Assist with certification and safety equipment requirements for new build vessels
• Raise purchase orders for inspections and certification-related items, and support invoice processing
• Support updates to vessel specification sheets, liaising with vessel teams where required

Job requirements

Skills / Experience

Essential

Previous experience in an administrative or document control role
· Strong organisational skills with the ability to manage multiple priorities
· High level of attention to detail and accuracy
· Excellent communication skills and a professional approach
· Strong Microsoft Office skills (Word, Excel)
· Proactive, reliable, and able to work both independently and as part of a team

· At least a B2 proficiency in English Language

Desirable
· Experience in a marine, offshore, or technical environment
· Familiarity with certification processes or compliance documentation systems
· Experience using document management systems (e.g. SharePoint)
